‘We were looking for a flexible, user-friendly medication system that aligns with Amsta’s direction for the future’

Amsta switched to Enovation Medimo in 2024

As part of efforts to optimise its application landscape, Amsterdam-based care organisation Amsta began searching for a new medication system in 2024. The goal was to improve medication safety and increase the efficiency of the medication process. After a thorough evaluation, the organisation chose Enovation Medimo, and in this article, staff from Amsta share how they experienced the transition.

‘We were looking for a medication system that’s ready for the future – one that embraces innovation and technological progress. The fact that Enovation Medimo offers an app and is actively developing photographic medication recognition were important factors for us’, says Eva Damave, ICT Project Manager at Amsta. ‘It was also crucial that the system is flexible and intuitive, both for staff who prescribe medication and for those who administer it.’

Ease of use is essential

Ease of use is absolutely essential, says Peter Ravesteijn, Functional Application Administrator at Amsta. ‘The system is designed in such a way that virtually anyone can use it with ease.’

‘In addition, our day care services now also work within Enovation Medimo, whereas they used to be paper-based. Registering medication digitally in Enovation Medimo gives immediate insight into whether clients have received their medication or are still due to take it.’

Peter is very pleased with Enovation Medimo. ‘I previously worked in a pharmacy that already used Enovation Medimo and similar applications, so I can make a good comparison. The management options in Enovation Medimo are simply much better than in other solutions. You can be far more specific when it comes to authorising staff, enabling medical students, for instance, to make medication proposals. The documentation provided by Enovation Medimo is excellent and easy to work with, and the helpdesk is very knowledgeable. Enovation Medimo is clearly ahead of the curve in anticipating future app developments, and the collaboration has been excellent. When I once ran into an issue while working at the pharmacy, I told Enovation Medimo what I needed – and within six weeks it was implemented. That’s fast, I can tell you. From an administrator’s perspective, that’s a real advantage.’

A well-thought-out decision

The search for a new medication system was approached with great care, says Eva. ‘We had four colleagues in the steering group and nineteen in the project group, plus a key user from every team or department – eighty-four in total.’

After a six-month selection process, Enovation Medimo was chosen in the summer of 2024. The implementation phase moved quickly, taking just three months. ‘That’s because the project group worked with real focus and efficiency, drawing on the right internal expertise to ensure the new system was up and running before the end of the year. Everyone was fully committed to making it a success.’

Double medication check

Alicja Takuski, a quality improvement nurse who was part of the project team, was already familiar with Enovation Medimo from a previous organisation. She is particularly pleased with the system’s ease of use, the double-check functionality, the medication ordering process and the ability to clearly monitor when medication has been administered. ‘It’s genuinely a simple and well-organised system. You only need to explain it to staff once, and I haven’t heard a single complaint since we started using it.’

Within Amsta, the double medication check forms part of the ‘Steeds Beter’ (‘Getting Better Every Day’) project. Eva explains: ‘The Amsta policy now aligns with the national guidelines from Zorg voor Beter, the Dutch national programme for quality improvement in long-term care. We’re also looking forward to developments in medication recognition technology, which will mean staff no longer need to interrupt colleagues as often for double checks. That gives us more time and breathing space in our daily work.’

It’s genuinely a simple and well-organised system. You only need to explain it to staff once, and I haven’t heard a single complaint since we started using it.

How did the implementation go?

The implementation of Enovation Medimo as the new system went smoothly. Peter explains: ‘We switched over to the new system on a Monday at 10 a.m. That time was chosen because our first medication round starts at 8 a.m. and the second at 12 p.m. Of course, it was an exciting moment.’

Alicja adds: ‘We barely noticed a thing in our day-to-day work, to be honest!’ Kimberly Bouwhuizen, Digital Coach and Functional Application Administrator: ‘What really made the difference was having our key users there to reassure colleagues about the schedule.’

Eva explains: ‘Because the project group was highly involved and committed, we were able to resolve the few challenges that arose during go-live quickly, with only minimal delays. Naturally, there are always a few things to fine-tune, but we adapted quickly.’

Digital coaches

Digital skills are an important focus area within Amsta – so important, in fact, that every location has its own digital coaches. Kimberly Bouwhuizen is one of these coaches and also works as a functional application administrator. ‘A digital coach helps colleagues improve their digital skills in the workplace. In most organisations, staff take on this role alongside their regular duties. At Amsta, it’s a dedicated role and part of the IT department; that’s exactly what’s needed if you want to do it properly. Digital coaches also provide training in other applications, not just Enovation Medimo.’
